This guide will highlight the workflow for registering to exhibit at IBC2026 and will cover registrations for Stand Exhibitors, Exhibitor Delegates, Technical Papers Pass and Distributors.
EXHIBITOR REGISTRATION
Exhibitors will need to register themselves and the attendees in the E-Zone. Head over to your E-Zone and select the Exhibitor Registration option on the left hand side:
This will display information on the pass types that you can register.
MANAGE PASSES:
There are currently four different pass types available for you:
Please note: If you are looking to register any Exhibitor Delegates OR Technical Paper Passes, you will need to make sure you purchase an allocation before registering the attendee details. You can do this by clicking on the 'Purchase Pass' option at the top or the red 'Purchase your Delegate allocation' option at the bottom. As those pass types are charged for, you will need to purchase the pass before registering the attendee details against that pass type.

BULK REGISTRATION
If you have a lot of people to register you may want to take advantage of our Bulk Registration feature - this allows you to import your attendees using an import spreadsheet. Please note that you can only register one pass type per upload. Use separate spreadsheets for each pass type you need to register.
Click on the Bulk Registration Icon next to the pass type you are looking to register > Download the template and add your data > Save the file to your device > Head back to the E-Zone page below and select choose file > choose the file you just saved to your device and click Import:
STEP 1 - COMPLETING THE TEMPLATE
Simply download a copy of our template and then add your attendee data below the correct column headings and save the file to your device.
Key Information:
- Red columns are mandatory
- Please limit each upload to 200 attendees, if you need to submit more than this we advise completing multiple uploads.
- The company name for Stand Exhibitors and Exhibitor Delegates is fixed to the main company name.
- Additional email addresses are not mandatory but you can include them if you wish to send the invitation to an alternative email address.
STEP 2 - IMPORTING THE TEMPLATE
After you've added all of your data to the template and saved the file to your device, you'll be able to use the 'Choose File' option to search for the file you just saved:
Choose the file you have just saved and hit the 'Import' button - the E-Zone will start processing your import.
Registration/Import Failure Reasons:
- 'Registered' The email has already been used for another registration - it is not possible to register the same email multiple times. The registration will fail if a duplicate email address is used. Please take a look at our How to Fix the ‘Already Registered’ Error in Exhibitor Registration.
- Name fields cannot contain numbers.
- Can't change the company name for stand exhibitors.
- You tried to register different pass types on the same spreadsheet.
Once you have registered/have been registered, you will be sent an email which will contain links to log into your account and to apply for your Visa Invitation Letter. Take a look at our Visa Invitation Letter Guide for more information.
A reminder for the Primary Exhibition Coordinator: Remember to register yourself!
CODES:
You can generate registration codes to distribute to your Stand Exhibitors, Exhibitor Delegates, Technical Paper Passes or Distributors to invite them to register for IBC2026. This is way of inviting and tracking your colleagues registrations.
GENERATING A CODE:
Create a code by using the key option next to the pass type you are looking to create the code for.
- Add a Registration Code Expiry Date - this is the date your code will expire and it cannot be used for registration after this date.
- Quantity - this determines how many codes you would like to be available.
- Code Name - a description to understand why the code is being used, for your reference.
- Select 'Create New Code'.
This will create your code and you should receive the message below:
DISTRIBUTING CODES:
When you are ready to distribute your codes, click on the key option again and this will take you through to the codes that have been created for that pass type. The codes will be displayed at the bottom of the page, used codes will also be displayed here too. If you need to cancel a code, select the red X on the right:
In the second column, you'll see two symbols which represent the two different distribution options you have:
Copy URL:
The Copy URL feature will copy the URL to your clipboard so you can send the link to the people who you'd like to register for that pass type.
Show QR Code:
This option will create a QR code that you can share with your attendees who can scan this and be taken to the correct place to apply the code and register.
The QR Code also has the copy URL option at the bottom, to give you scope on how you would like to distribute the codes.
Please note: When you create a code you can add a quantity, this is the amount of times that code can be used to register. For example, if you are inviting a department or an office location you can track the number of people who have used the codes. This will allow you to have more control over who is invited to register as part of your company and you will have access to the data for your reference.
INVOICES & RECEIPTS
This section will show you a list of invoices and receipts for your reference.
