WHAT HAPPENS DURING MY APPOINTMENT?
If attending in person:
- Check in at the reception desk on arrival.
- Confirm your contact and billing details, which will be used on your contract.
- Speak to a member of the sales team while you wait.
- Wait for your appointment number to appear on the screen.
- Select your stand from the available floorplan.
- You will have 10 minutes to make your selection.
- Sign your contract digitally before leaving the office.
If attending via video call:
- Log in at your scheduled time
- Wait in the virtual waiting room
- Join the meeting once called by the IBC team
- View available stands on the current floorplan
- You will have 10 minutes to choose your stand
- Sign your contract digitally before logging off
WHAT IF I MISS MY APPOINTMENT?
If you miss your allocated appointment time:
- Stands will continue to be booked in your absence
- Availability may be limited by the time you arrive
- If a lower-ranked exhibitor books a stand before you, it cannot be reassigned
You can still visit the Sales Office later during the show:
- Check in at reception
- Wait for your exhibitor number to be announced
- You will be called based on show history points and check-in order
WHAT IF I CAN’T BOOK THE SAME LOCATION OR SIZE AS LAST YEAR?
IBC stand allocation operates using a Show History Points system (in place since IBC2022) to ensure:
- Transparency
- Fairness
- A linear re-allocation process each year
If your previous stand is not available:
- The team will help you find the best available alternative
- You can contact your Account Manager at any time to request a new location
Please note:
- Floorplan changes may occur in the lead-up to the show
- Where possible, you will be notified of any suitable alternatives
CAN I REQUEST NOT TO BE PLACED NEAR OTHER COMPANIES?
No. Exhibitors cannot request specific neighbouring companies.
However:
- You will be able to see which exhibitors have booked nearby at the time of your appointment
- Previous show floorplans will be available to review historical stand placements
